Instructions for Private Plan Review

  • The Contractor is responsible for starting the permit record and listing aha as a contact. Once that is accomplished correctly, only then can aha upload all necessary documents to the jurisdictional file.
  • The Contractor is responsible for signing all subcontractors onto the permit as soon as possible in the process and before any inspections take place.
  • Upon engagement of services, aha shall send a “Notice to Building Official for the Use of a Private Provider” to the entity signing this agreement (Client). This form must be filled out, notarized and sent back to aha. Once received back, aha shall submit this form along with the remaining private provider documents, to the jurisdiction to signify to the jurisdiction that this is a private provider project.
  • Initial drawings, calculations and other necessary documents shall be sent to aha for plan review. Email address for all plan review is

    This will begin the iterative process of review and response (if needed). Once the documents are ready to be approved, aha shall request a professionally signed and sealed (but NOT YET digitally signed) set of documents for jurisdictional stamping “Reviewed for Code Compliance” aha shall stamp these documents “Reviewed for Code Compliance” and send back to the A/E professionals for final Digital Signing.
  • The A/E professional shall send all DIGITALLY SIGNED documents back to aha for uploading to the jurisdictional system.
  • aha shall keep the Client apprised of the jurisdictional process, including any additional information the jurisdiction needs re: Site Plan or Fire Marshal review.
  • All jurisdictional fees shall be paid by the Client. Client’s contractor is responsible for picking up the approved permit from the jurisdiction.

Instructions for Private Inspections

  • Client must call aha on a weekly basis to discuss status of construction, issues that may be present, and the approximate inspection schedule for that week.
  • Inspection requests must be sent to aha office via email by noon the day before the desired inspection(s). Email address for all inspection requests is:

    A phone call is also appreciated to discuss the details of the inspection being requested A contact information sheet will be handed out at the beginning of construction.
  • IMPORTANT:  The jurisdictions also require that the contractor schedules each inspection with the jurisdiction in which the permit is issued.  When calling the jurisdiction, or when scheduling online, it is IMPERATIVE that the contractor list the inspection as “PRIVATE PROVIDER”  This is the jurisdiction’s process for keeping track of a project’s progress and schedule.  The jurisdiction also has the right to send out their own inspector at any time to check on progress.

  • Inspections will be performed between the hours of 8 and 4pm unless extenuating circumstances dictate otherwise.
  • Contractor is responsible for keeping inspection reports on-site for city review.
  • Video Inspections are available with advance notice.  Approval of the use of video inspections is dependent on the type of inspection desired.
  • In some instances, it may be possible to do same day inspections or fast request inspections if needed on site.  Though not guaranteed, it does not hurt to ask.
